I’m not a technical person, and to be honest, procurement software makes me a little nervous

This is a completely legitimate concern. You’re a procurement professional, already overloaded with work, and now you’re supposed to deal with procurement software on top of everything else?

This is a completely legitimate concern. You’re a procurement professional, already overloaded with work, and now you’re expected to deal with procurement software as well?

“I’m not a technical person.”

“I don’t want to configure anything or troubleshoot problems.”

“I don’t want to learn how to do things in a complicated system.”

“What if I make a mistake?”

At Promitea, we believe that procurement professionals should focus on procurement—communicating with suppliers, monitoring prices, delivery times, and quality. They are not IT specialists or software administrators.

That’s why everything is set up from the very beginning, so you can start using the software and running procurements immediately.

A procurement professional is not an IT expert. Their job is to procure as efficiently as possible.

Promitea already covers 99% of what procurement teams need. Everything is configured according to proven best practices and is used by thousands of procurement professionals in small businesses and multinational corporations alike.

And if something is missing or needs to be tailored to your specific requirements, we’ll take care of it. We’ll set everything up so you can start working exactly the way you’re used to.

We don’t expect any technical expertise from you. We simply need you to tell us things like:

  • Which standard terms and conditions would you like to include in the template?

  • What should the report look like?

  • How long should the e-auction run?

99% of the functionality is already configured by default and aligns with your existing procurement process.

You don’t have to configure anything. Just get the job done.

Promitea je navržená tak, aby vás nezatěžovala technickými detaily.

We’ll prepare the standard RFQ templates for you.

Supplier bids will be compared automatically.

You’ll see the results clearly organized in the bid room.

Reports will be generated automatically in the format and level of detail you require.

The system will monitor deadlines and delays on your behalf.

This allows you to focus on what really matters: procurement itself. Communicating with suppliers. Selecting the best offer. Reducing costs. Making key business decisions.

We’ll create templates for your standard procurement requests.

Imagine that you regularly purchase similar products or services—office furniture, manufacturing components, maintenance services, packaging materials, or transportation, for example.

It doesn’t make much sense to set up the same sourcing event over and over again.

That’s why, in Promitea, we create standard request templates for you in advance. We call them templates. The basic structure of the request is already prepared, so all you need to do is activate it with a single click and fill in the specific details.

For example, when sourcing office furniture, you may always want to compare:

  • Price
  • Warranty period
  • Delivery lead time
  • Service and installation information

We’ll create a template that reduces the preparation time for recurring sourcing events from hours to just minutes.

These fields are predefined, and suppliers must complete them before they can submit their bids.

Once the bids are submitted, Promitea automatically generates a comparison table that evaluates and compares the responses, helping you identify the best supplier.

You don’t have to figure out how to compare suppliers. You don’t have to create your own spreadsheets, formulas, or Excel calculations. Promitea does it for you.

Suppliers must provide exactly the information you ask for in their bids. Any additional details, special conditions, or comments can be included in the notes section.

Just as importantly, suppliers can’t forget to provide critical information or try to influence the outcome through exceptions, disclaimers, or fine print.

A warranty, for example, is defined exactly as specified in your sourcing requirements. The supplier only enters the warranty period. They cannot redefine the terms through footnotes, qualifications, or ambiguous wording.

This simple feature has saved our customers millions and prevented countless disputes with suppliers over what they “really meant” or how a particular statement in their bid should be interpreted. Clear requirements lead to clear, comparable bids.

Suppliers cannot game the system by adding vague exceptions, hiding important conditions in the fine print, or “strategically” leaving out information from their bids. All required information must be provided in a structured and comparable format, ensuring a fair evaluation process and complete transparency from every supplier.

Nabídková síň vám automaticky nabídky srovná

A clear comparison of all bids—exactly in the format you need, at a glance.

Once suppliers submit their responses—and Promitea ensures that they provide all the information you require while still giving them the opportunity to add additional comments or details—their bids are automatically displayed in a clear, structured view called the Bid Room.

Instead of asking, “Where is that supplier’s bid?” or “Which version is the latest?”, you can focus immediately on what really matters:

Which supplier submitted the best offer, and where is there still room for improvement?

The Bid Room looks a bit like a highly refined spreadsheet, where all bids are displayed side by side.

Not like individual emails scattered across your inbox.

Not like attachments that have to be opened one by one.

Not like data that needs to be manually copied into a spreadsheet.

In the Bid Room, suppliers are displayed in columns and evaluation criteria in rows. You can instantly see who offered what price, what warranty period, what delivery lead time, and what additional comments they included in their bid.

To make comparisons even easier, the system uses simple visual highlighting. The best or most advantageous values are marked in green. The overall best bid is automatically displayed in the first column.

Many procurement professionals use this overview as a starting point for negotiations. They typically approach the supplier with the best overall bid and focus on improving the criteria where that supplier is not ranked first—for example, negotiating a longer warranty period or a shorter delivery lead time.

Využijte Umělou inteligenci k analýze tendru

You don’t always have the time—or the expertise—to evaluate a tender thoroughly and identify the small details that can make a critical difference when selecting the right supplier.

That’s why we’ve created a simple “Artificial Intelligence” button.

Think of it as having an experienced procurement professional on call whenever you need one. Just ask for help, and the AI will perform exactly the tasks you need—whether that’s reviewing supplier bids, identifying risks, highlighting opportunities for savings, or recommending the next steps.

Artificial Intelligence is like having an experienced procurement professional on call—ready to do exactly what you need and provide the advice you’re looking for.

You don’t need any AI expertise.

Just tell the software what you need help with, and it will take care of the rest.

Need to review a technical specification? Looking for advice on which evaluation criteria to select from the catalog? Want an independent analysis of your tender and recommendations for the next steps? Need an executive summary for management?

Simply describe what you need, and the AI will generate the requested output.

What you do with that output is entirely up to you. You can use it as is, ask follow-up questions, challenge its conclusions, or rely on your own judgment. The AI is there to support your decision-making—not replace it.

And of course, your data remains confidential. It stays under your control and is never shared with third parties.
